Exporting Data from SugarCRM – A Complete Guide

Exporting data from SugarCRM is an essential task for businesses that need to share CRM data with teams, departments, or external stakeholders.

How to Export Data in SugarCRM?

Whether you’re preparing reports, conducting data analysis, or simply transferring information to another system, SugarCRM provides a variety of methods to export your data efficiently. In this guide, we’ll walk through the common ways to export data, focusing on list views and reports.

Why Export Data from SugarCRM?

Exporting data from SugarCRM can be useful in many scenarios. For example, you might need to:

  • Share CRM data with external teams or departments who don’t use CRM.
  • Analyze CRM data in external tools, like Excel or Google Sheets.
  • Transfer data to other systems or for compliance purposes.

With these needs in mind, it’s important to know how to extract the relevant data efficiently.

Methods to Export Data in SugarCRM

SugarCRM offers different methods for exporting data, depending on your needs and the module you’re working with.

The two main ways to export data are from the List View of modules and from Reports.

1. Exporting Data from List View in Modules

The List View in SugarCRM displays records within a specific module (e.g., Contacts, Accounts, Leads). From here, users can easily export data to CSV files, though there are certain limitations.

Steps to Export Data from a Module List View

  1. Navigate to the Module: Go to the module from which you want to export data (e.g., Contacts).
  2. Access the List View: Select the List View in the Contacts module.
  3. Apply Filters: Use filters to narrow down the records to the ones you want to export. For example, you can filter by a specific city or country in the Contacts module.
  4. Export Data: Once your filter is applied, go to the Actions menu (usually at the top or bottom of the list view) and select the Export option as shown in the below screenshot.
  5. Download the CSV File: After clicking Export, the system will generate a CSV file containing the filtered records.

Limitations:

  1. Record Limit: You can only export up to 1000 records at a time from the list view.
  2. Field Inclusion: All fields in the module will be included in the export, so you may need to manually remove unnecessary columns after the export.
  3. Module-Specific Data: You can only export data from the selected module. For example, if you are in the Contacts module, you can only export Contact records. To export related data (e.g., Accounts or Opportunities), you will need to use the Reports module.

2. Exporting Data from Reports

SugarCRM’s Reports module offers more flexibility for exporting data, as it allows you to pull data across multiple modules. Reports also enable you to visualize data in both graphical and tabular formats, which can provide deeper insights.

The two main ways to export data are from the List View of modules and from Reports.

Steps to Export Data from a Report

  1. Go to the Reports Module: Navigate to the Reports module.
  2. Locate the Report: Find and open the report you want to export. If you haven’t created the report yet, use the Report Builder to create a custom report.
  3. Apply Filters or Sorting: Use filters and sorting to adjust the data that will appear in the report. You can filter by any field or condition and sort the data by relevant columns.
  4. Export the Report: After the report is ready, click the Export button at the top of the report screen.
  5. Select the Export Format: Choose from CSV or PDF formats based on your requirement.
  6. Download the File: After exporting, the system will generate the file, and you can download it and view the results.

Advantages of Using Reports for Data Export

  • Graphical and Tabular Views: Reports allow you to view data in both graphical (charts, graphs) and tabular formats. This provides a better understanding of trends and insights, making it easier to interpret the data in multiple ways.
  • Data Filtering and Customization: You can filter data to include only the fields and records that you need, making the export process more efficient. This eliminates the need to remove unnecessary columns, as with list views.
  • One-Step Export: Exporting data from reports is quicker and more efficient, especially for larger datasets, as you can export all relevant data in one go.

Additional Notes

  • File Formats: Reports are usually exported as CSV or Excel files, which can be easily opened in spreadsheet applications like Microsoft Excel or Google Sheets.
  • User Permissions: Ensure you have the necessary permissions to export reports, as some user roles may have restrictions.
  • Efficiency with Large Datasets: The Reports module is typically more efficient for exporting large datasets, as it allows for extensive data filtering and customization.

Conclusion

Exporting data in SugarCRM can be done in a few simple steps using either the List View or the Reports module, depending on your needs. While the List View offers a quick export method for smaller sets of data, the Reports module provides more flexibility for complex exports, allowing you to filter data, view it graphically, and export it in multiple formats. By choosing the right method based on your requirements, you can efficiently manage and share your SugarCRM data with ease.

If you need more control over the data being exported, or if you need to include related modules, the Reports module is the preferred choice. On the other hand, for quick exports from a specific module, the List View is a faster option.
